What every roofing invoice should include

A complete roofing invoice contains everything a homeowner (or their insurance adjuster) needs to verify the work and pay confidently. At minimum, include:

  • Contractor information. Company name, address, phone, email, contractor license number, and (where required) insurance carrier.
  • Customer & job-site details. Bill-to name and address, plus the job-site address if different, and any insurance claim number.
  • Unique invoice number and dates. Invoice number, issue date, and payment due date.
  • Scope of work. A short paragraph describing the project — for example, “Full tear-off and replacement of asphalt shingle roof, 23.4 squares, including new underlayment, ice-and-water shield, drip edge, and ridge vent.”
  • Itemized labor and materials. Each line with category, description, quantity, unit, unit price, and line total.
  • Permit and disposal fees broken out so the customer sees what was passed through.
  • Applicable taxes. Sales tax rate and computed amount.
  • Deposits received and balance due. A clear subtotal → tax → total → deposit → balance path.
  • Payment instructions. Accepted methods (check, ACH, credit card) and terms.
  • Warranty details. Manufacturer warranty (transferability, term) and your workmanship warranty.

Deposits, payment terms & balance due

Most residential roofing contracts follow a common payment structure: a deposit at contract signing (typically 20–33% of the total, or the cost of materials), a possible materials-delivery payment, and the balance due on completion within 15 or 30 days. Progress payments are more common on commercial or multi-day projects. For insurance claims, invoices are often issued directly to the insurer with the deductible collected separately from the homeowner.

The generator’s Deposit received field subtracts automatically from the total to show the correct balance due, and the Payment terms field is the place to spell out late-fee policies and accepted methods.

Yes — the invoice includes a dedicated field for your contractor license number, which appears in the header of the printed invoice. Logo upload is planned for the next release; for now, most contractors add their logo by editing the PDF in a follow-up step or by printing on letterhead.
Can I download a roofing invoice as a PDF?
